IT Information for New Employees

The information provided here is designed to help you access resources that are available to you as an employee.

Because there are so many applications that require a userid and password, we've set up a group of them to authenticate to the same source. We call that "Single Sign On". To get started you'll need to know your user id and password.

You will change your password through our Single Sign On password reset tool; passwords must be at least 10 characters and contain at least 1 number and 1 letter. NOTE: Due to account security restrictions, you cannot use the password reset tool offsite; you must be on the district network (ie. at a district site and using the DCSD network, wired or wireless) to use the password reset tool.

Help documents for many of the applications you will be using can be found on the IT Support Center support site. This site will require you to use your Single Sign-On credentials to access.

Single Sign On Applications

Email

The email software used by the District is Google Mail. It is not intended for personal use.

  • Your user id for email is the same as your single sign-on. You will enter your [email protected] in the "email" box and your single sign-on password will be your password. **Please note; you must use @dcsdk12.org after your user id to log in to Gmail**

  • Your email address is [email protected].

  • Email can be delivered to either your [email protected] OR [email protected]. They are the same mailbox.

  • In addition to email, there is Google Calendar, Google Drive, Sites, and Google Groups. You will be assigned to groups and mails lists based on your position information in the HR employee database.

Infinite Campus

IC is the student database used in DCSD and uses your Single Sign-on credentials

  • If your position requires an account it will be set up automatically for you. Requests will be made by the main secretary at your school or site in cases where you need additional access beyond what your job title requires.

  • IC can be accessed at home in addition to while you are on site

Web Help Desk

Ticketing application to request IT help.

There is a designated person in each building called a CST (Computer Support Teacher/Tech). Please contact them first for any computer-related issue. If they are unable to resolve the issue, you may need to put in a Help Desk ticket. You will enter a category, subcategory, and a description of your issue. The ticket will then be routed to the appropriate person.

Workday

Workday is your view of your employee information.

You'll want to log in to this system to manage your employment information, benefits, and personnel records.

SchoolMessenger

Emergency Notifications, Attendance, Schoolwide Notifications

School Messenger is the application used for sending out phone and text messages to school staff and parents. Access to this tool is provided on an as-needed basis and requires training. Visit our SchoolMessenger information page by clicking here (district login required).

Taleo

Now that you are a DCSD employee if you ever want to apply for a different job or view available postings you will log in to Taleo with your single sign-on credentials NOT the account that you used to apply for your first job as an out of district candidate.

Phones

Desk Phones & Voice Mail

  • Classroom Teachers: - You will get a virtual voice mailbox assigned when you first join the District. You will keep this vmb number until you leave the District. (Virtual voice mailbox numbers are not attached to a physical phone; only to a file location on a disk drive. (e.g. Post Office boxes vs. Mailboxes at your home address.)

  • Office/Departmental Staff: - Most office staff will need to be set up with voice mail if you will be using a desk phone on a regular basis as part of your job. Once you know which phone you will be using, check with the Secretary in your building or the Secretary of your department to put in a ticket for the *voice mail set-up or to request a new phone, if needed. *You may get a virtual vmb if you will be part of a phone tree.

  • Bus Drivers/ EAs, Nutrition Services, etc – don’t typically have voice mailboxes.

  • Information on voicemail setup and features can be found on the IT Support Center website

Cell Phones

Cell phones can be requested by your Supervisor via a Help Desk ticket

Published Phone Numbers

Once you have a phone and/or a voice mail number, you will need to go to Employee Self Service and enter the contact numbers to publish for yourself. This is the source of contact information that will appear in Google Contacts and the Website Directory.

 

Printing

Managed through an application called PaperCut

  • PaperCut will calculate the cost of each page printed- Color (.07) or Black and White (.01).

  • You will be prompted for a user id and password when you send a print job to the printer. This is NOT your single sign-on. The userid is your employee number and no password is required.


Clocking In/Out

The automated time management system used by DCSD is called Kronos.

  • You will be set up automatically to use your employee badge to swipe in and out each day if you are a classified or hourly employee.

  • If you are unable to use your badge to swipe please let your building/department secretary know.

Online Paystubs/W-2’s

ATS Print Freedom houses your Paystubs, W-2’s and contact information for the Payroll department.

  • The Access id for ATS is dcsdk12 and uses your single sign-on username. The default password is the last 4 digits of your SSN. You will be able to update this password within the application.

  • All pay-related questions should be directed to the Payroll department at 720-433-0133

Outside Agencies

Complaints regarding violations of Title VI, (race, national origin), Title IX (sex, gender), Section 504/ADA (handicap or disability), may be filed directly with the Office for Civil Rights, U.S. Department of Education, 1244 North Speer Blvd., Suite 310, Denver, CO 80204. Complaints regarding violations of Title VII (employment) and the ADEA (prohibiting age discrimination in employment) may be filed directly with the Federal Office of Equal Employment Opportunity Commission, 303 E. 17th Ave., Suite 510, Denver, CO 80202, or the Colorado Civil Rights Commission, 1560 Broadway, Suite 1050, Denver, CO 80202.

NOTICE OF DESTRUCTION OF SPECIAL EDUCATION RECORDS

Special Education records which have been collected by Douglas County School District related to the identification, evaluation, educational placement, or the provision of special education in the district, must be maintained under state and federal laws for the period of five (5) years after special education services have ended for the student. Special education services end when the student is no longer eligible for services, graduates, or completes his/her educational program at age 21, or moves from the district. This notification is to inform parents/guardians and former students of Douglas County School District's intent to destroy the special education records of students who exited special education services as of June 30, 2016. These records will be destroyed in accordance with state law unless the parent/guardian or eligible (adult) student notifies the school district otherwise. After five years, the records are no longer useful to the district, but may be useful to the parent/guardian or former student in applying for social security benefits, rehabilitation services, college entrance, etc. The parent/guardian or eligible (adult) student may request a copy of the records by requesting the records at this link ( Douglas County School District Transcripts and Records Requests ).
